Virtual Training Best Practices Managing the Time

Some activities done in the classroom are more difficult to manage in a virtual training environment. Here are a few common activities that, when not well managed, take up significant time in the virtual classroom and detract from the learning environment.

Participant introductions

  • Send an email with a survey link to all participants prior to the first day of class as a way of introducing themselves – share that information as a slide the first day of the class

Recapping small group/team work done by participants

  • Have one person per group designated as the spokesperson to debrief the team activity
  • Have each group submit a written document (or upload the document) to the instructor for review

Recapping individual assignments done by participants

  • Use chat or polls to have students debrief on individual assignments

Logistics: start times, meetings dates, syllabus/outline/agenda, question on how to use the collaboration tools in the virtual classroom, etc.

  • Send an email confirmation of the virtual class along with information such as start times, all dates of meetings, a copy of the syllabus/outline/agenda and other relevant logistics information.
  • Ensure the syllabus/outline/agenda, information on how to use the collaboration tools, and other relevant virtual classroom logistical information is available as a downloaded document for participants
  • Have a pre-session with required attendance for anyone who needs assistance using/learning the virtual classroom collaboration tools

Reading articles/white papers or other documents

  • Provide participants with handouts to be read prior to the virtual class session so that they have time to read off line and then discuss during the session.

Checking in with participants

  • Ask participants to click on the “raise hand” button if they have any questions

And from the facilitator’s point of view in managing time, consider the following best practices:

  • Practice before your very first virtual training session so you are comfortable with the platform and collaboration tools
  • Be logged on to the virtual platform at least 15 minutes early for every session
  • Have a detailed, timed agenda to track what you are doing and when
  • Have email addresses for all participants so that if for any reason you are unable to hold a virtual training session you are able to reach all participants so they are not logged in waiting for you
  • Consider having a technical host to help you during the virtual training session by managing technical details, responding to student technology questions, loading polls and performing other tasks so you can focus on facilitating the learning
